CMI Management Report

 

Pest Control Schedule -Third Wednesday of Every Month. 

Associations 3 – 4 – 7 – 8 & Clubhouse are scheduled for even months.

Associations 1 – 2 – 5 – 6 – 9 & 11 are scheduled for odd months. 

All Association Buildings get an outside barrier application Every Month. 

Residents must report any concerns about pests in writing to the CMI Office for any call back requests. Please note a call back request will not be made for a DEAD bug.

 

Administrative Update: 

  Resident should soon be receiving their Association’s First Notice of Election, which was mailed out August 25th 2010. If you want to be a candidate for your Association’s Board of Directors please make sure you fill out the enclosed paperwork and return it to your Association’s Secretary no later than September 14th 2010.

We have completed the file re-organization for each Association. We also have re organized all the Dock and Storage yard files into one area. The Dock Master is reviewing our spreadsheets for accuracy. A new dock slip diagram has been created and is mounted on the wall in our office. Many thanks to Mike Oyler for helping reproduce the Colonnades Logo for over the diagram boards. 

The clubhouse carpeting and furniture were cleaned by Chem-Dry on Wednesday August 18th.   Our cleaning company will be starting back weekly beginning the middle of September.  First thing on their agenda will be to wipe down all the chair frames and backing along with the tables. 

            The CMI Office will begin quarterly billing in September on items that require repayment that an Association has pending in our office. This will include work orders, postage, envelopes etc. 

Maintenance Update: 

            Joe has completed repainting the elevator doors and frames on each floor of Association 9. At the end of July we had our Annual Fire Inspection. Association’s three stories or more are now required to have a sign on their building showing the fire rating for their roof truss system. We were asked to purchase the signage for Association 9 and 11 and Joe has installed them on the outside of each building. 

            Joe re-grouted the tile area at the pool showers and repaired a roof leak over the office and library area. Joe is in the process of lowering the dock lighting from 12 feet to 8 feet and changing out the wattage from 175 watts to 23 watts. In between all the extra’s Joe does, he starts his day with rounds around the entire property, Association work orders and keeping the pool area clean and trimmed. 

            Labor Day is fast approaching and before long the Clubhouse will be a buzz. We hope everyone has a safe and enjoyable Labor Day Weekend and we look forward to everyone coming back to The Colonnades

CMI Management Report

Administrative Update: 

            Gayle has completed all of the files for each Association and we have purged 2009 / 2010 files. Each Association’s vendors have their own accounts payable file. All bank statements and Fort Pierce Utilities statement have been separated and are in their respective file.  

            We are creating a separate section for each Association. In this file will be your applications for sales and leases and frequently asked questions and any other pertinent information that needs to be kept. 

            Our new computer system has been installed. We now have a separate wireless router that secures our files, a back system with a server for storage of our files. Our two computers are now networked and can talk to each other. Gayle and I can access each other’s computers without actually sitting in front of the other computer. Eventually when we get a new copier with a fax system we will be able to fax, print and copy all from our computers that will be tied into the copier which will safe us money on printing costs. 

            After reviewing the phone bill and going over the cellphone charges I spoke to Russ Bercier about canceling the Manager and the Administrative Assistants cellphones since neither of us where actually using them. I explained that my cellphone plan and Gayle Lombardi’s cellphone plans allowed for an occasional company call and that if we went over our actual minutes and there were a lot of company phone charges we could put in for reimbursement. By canceling the 2 cellphones and changing the cellphone plan for Joe Boggess, I was able to save 101.00 per month on our cellphone bill. 

Maintenance Update: 

The clubhouse interior and CMI office have been repainted. The lean to has been completed and passed all inspections. The new pressure cleaner has arrived and Joe has completed pressure cleaning the pool deck and walls. He is now in the process of re caulking all the joints on the pool deck and re caulking the pool shower area tiling.  

            Joe also repaired the front clubhouse front door lock, replaced 2 light fixtures in the mechanical rooms of Association 9 and 1l and fabricated a frame to concrete a section of railing for Association 4.  He replaced the elevator shaft light in Association 11. Joe also finished painting the roof hatch for Association 2 and pressure cleaned the shed for Association11.  

            Our new shutters have been installed on the clubhouse on Monday and Tuesday July 19th and 20th. We have had the wind mitigation inspection completed and our insurance agent Keith Carroll has forwarded the inspection report onto Citizens Insurance for our credit. 

            Hope everyone is enjoying the summer. We look forward to everyone’s return in the fall.

CMI Management Report
 

      On May 10th Gayle Lombardi joined our staff as our new Administrative Assistant. Gayle has begun to go through all the CMI files and organizing them by year and alphabetically.  We are beginning to make new files for the 2010 / 2011 year and beginning this year, each Association will have a separate file for each of their vendors, utility statements and bank statements. 

The office has a new Pitney Bowes Postage Meter. This meter will speed up mailings and will keep track of each Associations postage on a monthly basis. At the end of each month we will be putting a statement into each Associations mailbox with the amount of postage used and envelopes used. 

 The new hurricane shutters for the Recreation Center have been ordered and our permitting has been approved. The shutters are in being manufactured and will be installed in July.  When the installation is complete we will notify Rick Carroll Insurance. Keith Carroll will have the building re appraised and we will receive an immediate 31% reduction on our Insurance. 

      Joe Boggess, our Maintenance Supervisor has inspected all Association Roofs and A/C units. Joe has resealed and painted the roof caps on Association’s 2- 5- 8- 9-10 & 11.  Association 11 has had their elevator doors repainted on all floors. The permit for the lean to has been approved and Joe is completing the work. After the lean to is complete Joe will begin painting the inside of the clubhouse. Colors will remain the same. 

The CMI office will be sending out the current owner names and addresses and the Election Time Line Summary to each Assoc. Secretary on July 15th 2010.

CMI MANAGEMENT REPORT

SEPTEMBER 2009

 

This continues and up-dates information reported in the July/August report describing new FY activities.  All new contracts are in place and vendor work is continuing well.  The environs appear to be in good condition and all is set for an enjoyable new season for all members. 

  • Pest control treatment by the Tru*Green Company for all buildings inside and outside and lawn treatment continues with a new contract with no price increase.  The Pest Control specialist continues to inspect the units as he services them and report any concerns.  Residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office when live bugs are seen in the buildings, so additional action can be provided.
  • Florida Scapes, the new lawn and landscape care providers continue to do a good job with the work on all community grounds. A blue Lawn and Landscape Information Request form is available in the office for association landscape coordinators to focus attention on specific corrective action needed.  This is reviewed weekly with the vendor and works well.
  • The surface of the shuffleboard has been re-done again and those playing have reported that it is a welcome improvement to get a satisfactory surface after the unexpected delays.
  • The CMI office continues efforts in up-dating the Storage Yard and Docks records for accounting and identification of storage space and dock slip assignments.  Coordination with PCC&F accounting and the Docks/Storage Yard committee will be maintained.
  • Gail Russell, the Administrative Assistant, is continuing to up-date office files and prepare election mail-outs in addition to her other support work for the associations.
  • Joe Boggess, the Maintenance Supervisor, continues attention to association work orders particularly for irrigation and minor repairs and in guiding the work of the vendors on CMI property.  His efforts have resulted in improvements in tree and bush cutting and the clearing of excess vegetation debris.  He has also completed extensive work on road drains including asphalt replacement and repair in the center of the community.  Additional projects are underway for his attention.
  • The restoration and resealing of the seawall remains an on-going project to secure and protect the integrity of the wall and the property behind it.
  • A review of the workload for Joe Boggess for the quarter July-September is underway and a summarization will be provided to the CMI President.  Joe’s workload tabulation is expected to continue monthly for the second quarter of the new Fiscal Year.
  • As a last note, the CMI Association Manager informs that this is the last month of his contract and wants to wish all in the community a fond farewell and offer thanks to everyone for their cooperation and considerations.

JULY/AUGUST 2009

This continues and up-dates information reported in June to describe activities beginning in the new FY.  The two months are combined as activities are slowed a bit during the summer season.

  • Pest control treatment by Tru*Green for all buildings inside and outside and lawn treatment continues as in the past FY.  The Pest Control specialist will inspect the units as he services them and report any concerns.  Residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office when live bugs are seen in the buildings, so additional action can be provided.
  • Florida Scapes, the new lawn and landscape care providers are doing a good job with that work and comments from residents continue to be favorable. A blue Lawn and Landscape Information Request form is available in the office for associations to help focus attention on specific corrective action needed.  This is reviewed weekly with the vendors and is very helpful to keep their attention appropriately directed
  • The surface of the shuffleboard has been re-done and seems to be a welcome improvement for those playing.
  • Efforts in the CMI office have continued in an attempt to improve and up date the Storage Yard and Docks records to assure better accounting and identification of storage space and dock slip assignments.  Coordination with PCC accounting and the Docks/Storage Yard committee will be maintained.
  • Gail Russell, the Administrative Assistant is continuing to review office files and association activities and prepare election mail-outs in addition to maintaining dock and storage yard file and record updates.
  • Joe B., in addition to attending to association work orders, has centered much of his CMI maintenance work on lawn and landscape efforts, including irrigation, to assure that grass, plants, trees, and all desired vegetation is attended to adequately during the dry and hot summer months.  He has guided the new vendors to achieve this purpose also.  He has also put a lot of attention on the plant beds and palm trees in the pool deck area to help keep the pool cleaner and safer.  He has also coordinated the trimming of all palm trees on CMI property, the removal of two dead palms and extensive cutback of the large ficus in the center of the park.
  • The restoration and resealing of the seawall remains an on-going project to secure and protect the integrity of the wall and the property behind it.
  • A review of the workload for Joe Boggess for the quarter April – June is being prepared and will be summarized with the prior quarter for a semi-annual report.  The workload tabulation continues monthly for the first quarter of the new Fiscal Year.

CMI MANAGEMENT REPORT

MAY/JUNE 2009

 

This continues and up-dates information provided in the April 2009 report to FY end. 

  • Work has begun again on repair and resealing of the seawall, which had been delayed due to wind and weather.  This remains an on-going project to secure and protect the integrity of the wall and the property behind it.

 

  • Pest control treatment for all buildings inside and outside and lawn treatment continues.  The Tru*Green Pest Control specialist will inspect the units as he services them and report any concerns.  Residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office when live bugs are seen in the buildings, so additional action can be provided.  The Pest Control Committee has reviewed contract proposals to service all association buildings and units for the 09 -10 FY and has awarded the contract again to Tru*Green Chemical.

 

  • The pool heaters did a good job over the colder months maintaining a very comfortable water temperature but will soon be shut down to decrease the need for the electrical service.  In the past, the solar system has shown to be sufficient.

 

  • The Grounds and Roads Committee chaired by Bernie Craft has provided recommendations to the CMI Board regarding lawn and landscape care for the coming FY.  The committee continues to review current landscape needs and develop plans for these with the help of association landscape coordinators.  A blue Lawn and Landscape Information Request sheet is available in the office and to all associations to help focus attention on specific corrective action needed.

 

  • Proposals for improving the surface of the shuffleboard lanes have been reviewed and a company has been chosen to provide this service.  They will begin in two/three weeks.

 

  • The Insurance Committee chaired by George Gunther has completed review of our insurance program and representatives of the Rick Carroll agency met on May 14 with all associations for completion of this.  Most of the payment checks have been sent to the agency with the rest expected to be cut soon as they are due by June 1 in the agency office.

 

  • The Financial Committee chaired by CMI treasurer, Dan O”Brien completed the CMI budget and it was approved in April.  Associations are completing theirs so they all can be forwarded to PCC by the first of June for coupon preparation and accounting attention.

 

  • A review of the work load for Joe Boggess for the quarter January-March was prepared and submitted to the Executive Council.  The workload tabulation for the fourth quarter and end of year summary will be provided with the July report.

  • Pest control treatment for all buildings inside and outside and lawn treatment continues.  When live bugs are seen in the buildings, residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office so additional action can be provided.
  • The residents have continued to enjoy the pool as the new heaters have maintained a very comfortable water temperature even on cold days and the cost of the heater service has stayed within the expected range.  The Pool Committee continues to monitor this.
  • The Grounds and Roads Committee chaired by Bernie Craft has provided recommendations to the CMI Board regarding the selection of lawn and landscape care vendors for the coming FY.  The committee continues to review current landscape needs and develop plans for these with the help of association landscape coordinators.  A notice has been provided to all associations for the use of a Lawn and Landscape Information Request sheet that will help focus attention on specific corrective needs.
  • The Pest Control Committee is continuing to review contract proposals to service all association buildings and units for the coming FY.  Attention is being given to the results of the current information received from residents regarding the type and incidence of pest infestation. Residents are reminded to use the green Pest Control Assistance Request forms available in the CMI office to obtain attention to this.
  • Proposals for improving the surfaces of the shuffleboard lanes and repair and resurfacing of the tennis courts remain in process.  The need and cost are still being reviewed.
  • The Insurance Committee chaired by George Gunther earlier set up meetings with our insurance agents and officers of each association to review their insurance programs.  Continued attention to insurance costs is being made by the committee.
  • The Financial Committee chaired by CMI treasurer, Dan O'Brien has completed a proposed budget to be voted this month.
  • A review of the work load for Joe Boggess for the quarter January-March has been completed and submitted to the Executive Council.

  • Pest control treatment for all buildings inside and outside and lawn treatment continues.  When live bugs are seen in the buildings, residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office so additional action can be provided.

 

  • The residents have continued to enjoy the pool as the new heaters have maintained a very comfortable water temperature even on cold days and the cost of the heater service has stayed within the expected range.  The Pool Committee continues to monitor this.

 

  • The Grounds and Roads Committee chaired by Bernie Craft is studying landscape needs and developing plans for these with the help of association landscape coordinators.  The committee is also reviewing the proposals for lawn and landscape for the coming FY that have been received.  Three concrete dumpster pads on Carlton court have been improved to prevent truck tire damage to the lawn.

 

  • The Pest Control Committee has been studying the results of the pest control program for the community both interior and exterior and is now reviewing the proposals for this for the coming FY. 

 

  • Auditing and tax services for 07-08 have been completed by Berger, Toombs, Elam, Gaines & Frank and the Federal tax payments have been processed through PCC and the Gulfstream Bank.  Receipts and records for this are being collated in the CMI office and will be provided to the association as soon as this is complete.  Jay Gaines at Berger & Company can be contacted if there are any questions.

 

  • Proposals for improving the surfaces of the shuffleboard lanes and repair and resurfacing of the tennis courts are in process.  Requests for the cost for these have resulted in figures that suggested additional proposals need to be solicited and this is on-going at this point.

 

  • The Insurance Committee chaired by George Gunther set up meetings with our insurance agent to review the insurance programs with officers of each association.  These meetings were found to be very helpful and informative by all including CMI.

 

  • The Financial Committee is reviewing expected expenditures for the coming Fiscal Year for all vendor and professional services so that the CMI budget can be completed and final figures to allow association budget development can be agreed as soon as possible.

  • Work continues on repair and resealing of the seawall as wind and winter weather allows.  This remains an on-going project to secure and protect the integrity of the wall and the property behind it.

  • Pest control treatment for all buildings monthly and units bi-monthly continues with an additional lawn treatment scheduled every three months to impede pests, fungus, and weeds throughout the community.  When live bugs are seen in the buildings, residents are asked to inform the office by written communication via the green Pest Control Assistance Request forms available in the CMI office so additional action can be provided.

  • The new pool heaters have continued to maintain a very comfortable water temperature throughout the cold days so far and the cost of the heater operations have been within the expected range.  This will continue to be monitored during the rest of the winter months.

  • Mulching throughout the CMI property and many of the associations has been recently completed.  The Grounds and Roads Committee chaired by Bernie Craft is reviewing landscape needs and developing plans for these. 

  • The installation of a new roof drain system over the sauna and records room has been completed that provides more protection and security for that building and improves the storm run-off field for that end of the pool area.

  • Auditing and tax services for 07-08 have been completed by Berger, Toombs, Elam, Gaines & Frank for all associations and the tax returns and final financial statements have been distributed to all associations via the office mail trays.  The associations are asked to get their returns in the mail as soon as possible or to contact Jay Gaines at Berger & company if there are any questions.

  • Proposals for resurfacing shuffleboard lanes, repair and resurfacing of the tennis courts, and extending some of the concrete pads for the waste receptacles are in process.  Requests for the cost for these have resulted in figures that suggested additional proposals need to be solicited and this is on-going at this point.

  • Proposals for contracts for the coming Fiscal Year for lawn and landscape services as well as professional accounting and tax services are being obtained and considered so that final figures to allow budget development can be agreed as soon as possible.

CMI MANAGEMENT REPORT

November/December 2008

 

This report provides an end-of-year update of CMI management activities following the October report.

  • Work continues on repair and resealing of the marine wall to prevent damage from wind and sea as this is an on-going project to be sure this wall is well maintained.
  • Pest control treatment for all buildings monthly and units bi-monthly continues with an additional lawn treatment scheduled every three months to impede pests, fungus, and weeds throughout the community.  Currently, these infestations appear to be well controlled.
  • The new pool heaters have been in operation since early in November and seem to be maintaining a very comfortable water temperature. The entire pool deck and screened patio floor have been resurfaced and with new decorative tile around the inner edge of the pool and some new furniture, many residents are finding this to be a very enjoyable spot even in these cool winter months.
  • Mulching throughout the CMI property and many of the associations has been recently complete and adds beauty to the grounds as well as a lot of protection to plants and bushes. 
  • The installation of a new roof drain system over the sauna and records room has been completed that provides more protection and security for that building and improves the storm run-off field for that end of the pool area.
  • Auditing and tax services provided by Berger, Toombs, Elam, Gaines & Frank for all associations is nearing completion and some associations have already received appropriate reports and tax statements.  The rest remain in progress but should be provided early in January.  The CMI Treasurer is following this to assure timely completion for this Fiscal Year.
  • A complete evaluation of our insurance needs and coverage for next year is being studied by the CMI Insurance Committee.  They will advise on this as soon as the necessary information can be obtained.

Kudos of appreciation for the work and dedication of Fran Cameron and Joe Boggess for their efforts during the past year are in order.  These persons are recognized for their immense contributions to CMI and all members of the community.

Management wishes a very Happy New Year to everyone and the best of everything through the coming year to all association boards and members.

CMI MANAGEMENT REPORT

October 2008

This report enumerates and up-dates some of the CMI project activities since the spring for the reference of the incoming board members and others.

  • The most damaged part of the marine seawall was repaired and capped by contract.  Joe B. worked through the summer to continue the repairs, caulk and seal cracks, apply a surfacing product (which is still in progress), and currently continues working to repair and seal the facial wall to the low waterline.
  • Pest control treatment for the buildings was re-contracted in July to continue the alternate monthly internal (in the unit) applications and for external applications now scheduled for every month throughout the community.  Lawn treatments to impede pests, fungus, and weeds throughout the community are continuing and these infestations appear to be well controlled
  • The pool area has seen some significant improvements.  Pool heaters were installed and are to be put into operation on the first of November.  Testing and adjustment of the equipment is underway.  The entire pool deck and the screened patio floor were resurfaced with a special non-skid application.  Decorative tile has been installed around the inner edge of the pool and this also adds to enhancing that popular spot.  Repair and replacement of some of the furniture and additional landscaping in the pool area has also been completed.
  • A contract with Sunstate Pest Control has been agreed to continue protection against sub-terranean termite infestation and damage that includes liability warranty for repairs as needed on any building.
  • Auditing and tax services provided by Berger, Toombs, Elam, Gaines & Frank for all associations are in progress.  A meeting with them and PCC, our accountants, is scheduled for early in November to be sure all documents are in order, tax forms and returns are completed timely, and accounting and auditing activities are coordinated appropriately.
  • CMI and association insurance payments for the current FY have been finalized and an insurance review with our agency, Rick Carroll Insurance, is being planned in preparation for a complete evaluation of our insurance needs and coverage for next year.

Management continues the view of working hand in hand with the administrations of all associations and wishes the best for the new boards and all association members.

CMI MANAGEMENT REPORT

September 2008

 

This report continues the 2008-09 Fiscal Year update on management activities reported in the Summary of July/August 2008.

  • The lawn treatments to impede lawn pest, fungus, and weeds are continuing.  Anyone noticing any brown or bare spots that may need additional attention should let the office know.
  • Pest control treatment continues to appear to be effective and has seriously reduced aphid and scale colonies that help to sustain ants and other insects.  Internal (in the unit) pest control applications are scheduled every other month for all buildings with external applications now scheduled for every month throughout the community.
  • Joe B. continues the project to apply a surfacing product to the entire seawall.  The weather alerts and ground water control disrupted this for a while but it will shortly be completed.
  • The pool heater project is complete but the real test will be in the coming winter months.  In addition to the pool deck and patio floor re-surfacing, decorative tile has now been installed around the inner edge of the pool and this also adds to enhancing that popular spot.  Repair of some furniture and additional landscaping in the pool area has also been completed.
  • Auditing and tax services provided by Berger, Toombs, Elam, Gaines & Frank have also been agreed for this Fiscal Year.  They have picked up financial documents for all associations and CMI for auditing services in their offices.  Receipts and stubs remain.
  • CMI and association insurance payments have been finalized and an insurance review with our agency, Rick Carroll Insurance, is underway in preparation for next year insurance planning.

 

The workings and activities of management continue to be planned as needed.  In the light of continuing management improvement a few suggestions are presented in an attached addendum to this report to be put before the CMI Executive Committee at the October meeting.  Management continues the view of working hand in hand with the administrations of all associations.

This supplements the Management Report of September adding suggestions that could be considered by the CMI Executive Committee for the October Board Meeting.  The ideas are primarily advocated to help management improve their activities in coordinating and implementing the services beneficial to the community.

 

  • Of major importance is the need for the completion and acceptance of the new CMI/Associations agreement still held in committee.  This document is specific to the role of CMI management regarding the associations and will be most useful in providing appropriate guidance and action to be taken for the betterment of all associations.
  • The need for a global landscaping plan for CMI property has come to light as plant maintenance has developed evidence that some bushes and plants have outgrown the areas in which they were planted, old wood is interfering with new growth, and keeping ornamentals adequately shaped has become very difficult.  Careful review of this by the landscape committee is requested.
  • A packet of new and/or corrected inserts for the CMI information book is being prepared and will be provided to each association before or at the October Board Meeting.  Hopefully, officers and delegates with keep these books handy and assist CMI and the respective association boards to be aware of the wide range of very useful information.
  • Vendor contracts for Fiscal Year 2009-10 will need the attention of committee members for landscape, pool, pest control, accounting, auditors, tax preparation, etc. in order to get the best services for the money.  These committees are encouraged to review the current contracts so CMI can get the best value.
  • The community insurance program might be given a close review as well.  A lot of money is spent protecting and securing property values and getting on this as soon as possible seems highly advisable.
  • With the completion of the work role descriptions for the CMI staff additional attention has been given to staff efforts at working within these roles more effectively and efficiently.  Implementing more of this could result from a planned management review scheduled at specific times, perhaps monthly or bi-monthly.  In preparation for this, personnel evaluations of the current CMI staff have been completed and provided to the current administration.

CMI MANAGEMENT REPORT

July/August 2008

 

This report begins the 2008-09 Fiscal Year update on management activities reported in the 2007-2008 end of year summary of June 2008.

 

  • Lawn treatments to impede lawn pest, fungus, and weeds are continuing as the prior six-month test period found excellent results.  Applications will be every three months, four times in the year.

 

  • The treatments in the last six months for the added control of insects on plants and bushes particularly around the buildings appear to be effective and have seriously reduced aphid and scale colonies that help to sustain ants and other insects.  Internal (in the unit) pest control applications are scheduled every other month for all building but the external applications are now scheduled for every month throughout the community.

 

  • Joe B. has completed sealing cracks and openings in all sections of the seawall that were not repaired previously by contract.  An attractive surfacing product is being applied to the entire seawall.  Joe has made arrangements for this to be completed ASAP.  This work will significantly extend the life of the seawall for many years as well as enhance the security and protection it provides for the community. 

 

  • The pool heater project is complete but the real test will be in the coming winter months.  Re-surfacing of the pool deck and screened patio has been completed and makes a very nice improvement in the looks of those areas.  Some additional landscaping in the pool area has also contributed to this.

 

  •  Joe has completed a carpentry project to repair and refurbish the rooms on each side of the sauna.  The former “noodle” room is now the locked storage area for all archived association records in the custody of CMI.  The old pool chemical room now houses the noodles and other pool paraphernalia. 

 

  • A new agreement has been executed with Proctor, Crook, and Crowder to continue their accounting services for CMI and all associations.  Auditing and tax services provided in the past is under review and will be presented to the CMI Directors at their first meeting.  All insurance payments have been finalized and/or appropriately scheduled.

 

  • The workings and activities of management continue to be reviewed in the light of the work on the CMI/Association Agreement that remains on hold.  A new management agreement has been finalized and has been put in place for the 08-09 Fiscal Year.

CMI MANAGEMENT REPORT - ADDENDUM

August 2008

 

This supplements the Management Report of July/August by citing some additional items that are brought to the attention of the CMI Executive Committee but are not necessarily for general knowledge or publication.  Some details related to the Storm Fay affecting the Colonnades community on August 18-21 are presented:

 

  • In the week preceding the storm, the CMI staff initiated advance preparation by following the disaster plan already on hand and checklists were completed for the items needing staff attention.  This served as a run-through drill for anticipation of any current and/or future emergency situation.

 

  • Daily conferences were held by Fran, Joe, and George to review the activities and requirements of each depending on what the storm brought.  All daily activities continued to be maintained and business was conducted as usual.

 

  • At the end of the week when it began to look like our area could be seriously affected, we began contacts with our vendors to inform them of the need for their input and attention to their services and stepped up our activities to secure and protect all CMI property and goods.

 

  • Joe brought in all the pool furniture; checked all the exposed wires, pipes, and plants to assure security for them; and began patrols to continue observance of the entire community and reported as needed.  As excessive ground water began to accumulate Joe maintained constant attention to see that drains and collectors were secured and clear of debris.  Fran and George secured the office area and equipment including putting essential records in the fire-safe file, reviewing communication equipment and processes, and handling calls from residents.

 

  • Joe B. was called on to attend to boats left in the water that were at risk.  He made exceptional effort in the rain and high wind to secure some of these boats more firmly in order to protect them from damage or further damage in some instances.  George was informed of some of this risk and assisted in tying up some of the boats that showed frayed lines or excessive wave motion.  There is some concern that boat owners left their craft for someone else to protect.  Attention by the docks committee regarding this concern is advised in the future.

 

  •  Joe also found a number of planks that were dislodged from the docks and secured and replaced them as needed.  Some electrical units and plumbing lines were damaged and required immediate attention.  A considerable part of Joe’s time was spent taking care of dock work and the boats and he did an excellent job of handling all of this and responding to urgent conditions.  Management has high regard for his efforts and productivity and is appreciative of his extra initiative for these things.

CMI MANAGEMENT REPORT

May/June 2008

 

This report updates information on management activities reported through April in order to help maintain a consistent chronology on projects and other management team efforts on-going for FY 07-08.  This report also functions as an end of Fiscal Year summation.

 

  • The lawn treatments to impede lawn pest, fungus, and weeds seem to continue to be effective.  All infestation now is under control and brown areas on the lawn have again turned green and lush.  Rainfall, although intermittent, has contributed to this improvement, also.  The third and final application that will conclude treatment for this fiscal year has been applied. 

 

  • The treatments in the last six months for the added control of insects on plants and bushes appear to be effective and have seriously reduced aphid and scale colonies so the ants and other insects that feed on them have also been reduced.  The third treatment and final treatment for this was completed in late May.

 

  • Contracted sea wall repairs were completed and Joe B. has worked diligently on sealing additional sections of the seawall that were not repaired by contract.  The next step will be to apply the exterior coating to match the surface of the repaired sections.  Joe has made arrangements for this to be done ASAP.

 

  • The pool heater project is complete and working well.  Re-surfacing of the pool deck and screened patio has been completed and looks great.  Both of these improvements should add a lot to the enjoyment of the pool.  A carpentry project to improve the “noodle” room is planned and will soon be underway. 

 

  • Vendors for contracts for the 08-09 FY have all been agreed and signed.  Schedule sheets for pest control and lawn/landscape maintenance have been drafted and will be revised according the needs of the seasons.  This information will be provided to CMI and the Associations and posted for reference by the residents.

 

  • Budget development for CMI and all associations is complete and the information has been provided to the accounting firm. 

 

  • Insurance for CMI and all association has been contracted with Rick Carroll Agency.  All insurance payments have been finalized and/or appropriately scheduled.

 

  • The workings and activities of management are still being reviewed in the light of the work on the CMI/Association Agreement that is on hold currently.  A new management agreement has been finalized and signed and will be put into place in July for the 08-09 Fiscal Year.

This month’s report provides information updates on management activities reported in March and additional items.  Most of the same projects and activities have continued.

 

  • The applications to impede lawn pest, fungus, and weeds seem to be effective.  Almost all bug infestation now is under control and most of the previous brown areas have all turned green and are growing well.  Rainfall has contributed to Improvement.  The third application that will conclude treatment for this fiscal year is scheduled for early May. 

 

  • The treatments for the added control of insects on plants and bushes appear to be effective also as aphid and scale colonies have disappeared.  The third treatment for this is scheduled for this month.

 

  • Contracted sea wall repairs have been completed and the area adequately restored and secured.  Joe B. has all of the materials for his additional work sealing parts of the seawall that are not being repaired or replaced by contract and will soon be proceeding with this.

 

  • The contract for re-surfacing of the pool deck continues on hold pending the completion of the pool heater project underway currently.  The permits for this have been secured, the ditch in the deck has been cut, and all is ready for the plumbing and heater connections that are waiting on the plumber’s schedule.

 

  • Management has interviewed a number of vendors for contracts for the 08-09 FY and information on this has been shared with the Executive Committee members who have assisted in review of the proposals and pricing structure. A sketch sheet to allow comparisons and cost details for the proposals was prepared and is being revised for Board information as needed.

 

  • The workings and activities of management are still being reviewed in the light of the current work on the CMI/Association Agreement.  Some finalization of this is expected in the coming month or so. 

 

  • Management and officer activities continue regarding budget development.  The proposed CMI budget has been prepared and presented by the Treasurer. 

 

  • An insurance consultant, Mr. Jerry Bookman of Risk Management Consultants, Inc. was contacted to review our insurance program but the need to move immediately on our 08-09 FY insurance program has put this on hold.

CMI MANAGEMENT REPORT

March 2008

 

This month’s report provides information on management activities February and March to date.  Projects and activities continue to move along and the planned improvements are beginning to mature.  The following have been part of this:

 

  • The contract for control of lawn pest, fungus, and weed as well as added fertilization agreed in December with Tru-Green Chemical continues with the second community wide application completed.  The chinch bug infestation now is under control and most of the brown areas have grossly diminished. Improvement continues to be seen and with a modest level of rain that should make a big difference in the look of our lawns. 

 

  • The contract let with Tru-Green for added control of insects on plants and bushes has been hard to evaluate but the second treatment has been applied. It will be a while yet before additional results can be expected.  Tru-Green management is assisting us in the evaluation on this.

 

  • A hold continues on the additional repairs on the sea wall as the permits have not yet been authorized.  We look forward to getting this work done very soon however.  Joe B. has lined up the materials for his work in sealing parts of the seawall that are not being repaired or replaced by contract at this time and is proceeding with this.

 

  • Joe B. has completed the permanent sealing of the perimeter of the pool deck in preparation for surfacing as soon as the heater installation is complete.  The contract for re-surfacing of the pool deck continues on hold pending the completion of the pool heater project.  Joe has also repaired and up-graded four wash drains on the CMI property.

 

  • Planning for the installation of pool heating equipment continues with the electrical equipment installed, the impact fees paid, and labor and materials to cut the pipe and electrical trenches scheduled but we are still waiting on the permits that will allow for cutting the trenches and laying the conduit.  The city has scheduled the laying of the electrical power line into the pool area.

 

  • The wireless Internet access installation reported last month has been found to work well at least in the clubhouse environs and has found resident approval on how well it works and the speed of acquisition.

 

Management has also been involved is some additional efforts.

 

  • Fourteen letters requesting proposals for all current vendor contracts have been sent to the current providers and a select group of others that will give us a base for choosing the most effective services for the 2008-2009 contract year beginning July 1.  A sketch sheet to allow comparisons and cost details for the vendors that replied was prepared and was reviewed by the Executive Committee at a workshop activity with the Roads and Grounds (Landscape) Committee on March 21.

 

  • The workings and activities of management are still being reviewed in the light of the continual work on the CMI/Association Agreement.  Some finalization of this is expected in the coming month or so. 

 

  • Management and officer activities have begun regarding budget development, renewal of insurance packages, and assessing the current situation related to the use, function, and improvement of all community property.  These activities and results will be reported in later management reports as well as in the minutes of official meetings. 

 

  • Weekly workshops between the Association Manager and the CMI President to identify needs and tasks as well as to obtain guidance on projects and tasks continue.

This month’s report provides information on management activities from the beginning of the New Year.  We started off on a high note from all the things that had been happening previously as described in the 2007 End of Year Report.  We now take it from there

 

  • The new contract for lawn pest, fungus, and weed as well as added fertilization let in December with Tru-Green Chemical continues with the second community wide application to occur this month.  A great deal of improvement is seen in the brown and infested areas and we look forward to continued improvement.

 

  • The second contract let with Tru-Green for added control of insects on plants and bushes has been hard to evaluate but we are continuing with another application also scheduled this month and will be asking Tru-Green management to assist us in additional evaluation on this.

 

  • A hold still continues on the additional repairs on the sea wall as the permits have not yet been authorized.  We look forward to getting this work done early in March.  In the meantime, Joe B. has lined up the materials for his work in sealing parts of the seawall that are not being repaired or replaced by contract at this time.

 

  • All the fire extinguisher inspections throughout the community have been completed and the Office of the Fire Marshall has provided certification for this.

 

  • Planning for the installation of pool heating equipment continues with the electrical equipment installed, the impact fees paid, and labor and materials to cut the pipe and electrical trenches scheduled.

 

  • A contract for re-surfacing of the pool deck continues on hold pending the completion of the pool heater project.

 

Some other improvements to the clubhouse environs and office services have also developed since the first of the year:

 

  • An improved procedure for the operation of the clubhouse DishNet TV has been written and provided for users.  Anyone needing technical information for the TV operation is asked to inform the office

 

  • Technical equipment for wireless Internet access has been installed and available to those members and residents with PC laptops.  Access is limited to about a 100-yard range so operation is limited to the clubhouse and close area.  Those that have already used it have commented favorably on how well it works and the speed of acquisition.

 

  • A new year brings the need to review the workings and activities of management and this is in process.  Inventories are being brought up to date and the Executive Committee is reviewing the current management orientation and helping to develop improved management processes. 

 

  • Management and officer activities have begun in order to be ready for reviewing all contracts, developing budgets, renewing insurance packages, and assessing the current situation related to the use and function of all community property.  These activities and results will be reported in later management reports as well as in the minutes of official meetings.  Weekly meetings between the Association Manager and the CMI President to identify needs and tasks as well as to obtain guidance on projects and tasks continues.

CMI 2007 MANAGEMENT END OF YEAR REPORT

January  2008

This month’s report consists of a summary chronology of management activities and community accomplishments and changes that went on at the Colonnades in the past year.  Earlier monthly reports have regularly cited some of these features but an overall perspective for the benefit of all members is the intent here. A great deal of gratitude must be expressed to the CMI officers and Board of Directors for their guidance, understanding, and foresight in assisting the management team in all efforts.

The year began with Signature Property Management assigning a new Association Manager to fill the provisions of their management contract and some time was needed for the assignee to “learn the ropes” and get on track with the required management activities.  Through the capable direction of the CMI President, George Gunther and the assistance of Fran Cameron in the office, this was suitably achieved with little disruption in the expected management process.

The newly assigned CMI Association Manager, George Jerman, along with Fran C. early instituted some improvements in the CMI office to provide for more efficient service and operations including the following:

  • Review of office procedures, documents, and files and re-arrangement of the office setting to develop more useable space.
  • Adaptations in the computer, printer, copier and storage areas to facilitate ease of function and to establish equipment and materials inventory reporting process.
  • Purchase of some new furniture and re-use of existing facilities.
  • New cell phone service with walkie-talkie features to improve inter-communication for regular and emergency contact.
  • The regular phone service was also improved by eliminating the dial-up computer inter-net connection and purchasing a cheaper package with Comcast for web and television service.

March and April activities were centered on review of building and grounds maintenance requirements, lawn and plant upgrading, and monitoring the pest control situation with an emphasis on determining a cost analysis of what the vendors were providing and what was additionally needed.  Three contracts (lawn pest control, lawn and landscape care and irrigation services) were discontinued as a result of this analysis.  A new tree-trimming contract was engaged to include hard cutting of some of the common property vegetation.  Considerable improvement in areas of plant and lawn health and growth resulted.

May and June brought us closer to the end of the fiscal year resulting in activities that are required at this time including the following:

·         New insurance policies were negotiated with the Rick Carroll Agency for all associations with the final copies expected in the fall.

·         CMI and all association budgets were completed and delivered to the Proctor accounting group in June.

In July, the contract with Signature Management was discontinued and a new contract was let with the current Association Manager to continue in the same position.  Much of the management development already achieved was in place and the management operations continued to be maintained without any significant changes.  Under the direction of CMI President George Gunther, a number of considerations were planned over the summer including the following:

  • The CMI/Associations agreement of 1979 seemed to be outmoded and a re-writing of this agreement was to be planned at the first Board meeting.
  • Improvements in management structure and processes to more effectively serve the Colonnades community were dependent in large part on the specifics in the agreement so only moderate changes could be instituted but a management scope of work, an organizational chart, and staff role expectations were prepared.  Introducing these changes was also planned for the first meeting of the Board of Directors in the fall.
  • A number of vendor contracts came to the end of the agreed term so essential ones (pest control and landscape) were extended pending the fall Board meeting to decide on these.
  • All old association records were removed from cardboard cartons and stored in plastic bins with the most current records kept available in the CMI office while unneeded records were shredded.
  • Additional attention was given to review of our accounting processes and improving services received from PCC, our accounting firm with the schedule for back-billing of payables for the association and check cutting and delivery of prepared checks to CMI and the associations considerably improved.

Other major summer activities included:

·         Weekly meetings between the Association Manager and the CMI President to identify needs and tasks as well as to obtain guidance on projects and tasks.

 

·         Evaluation of all existing and new vendor contracts and a spreadsheet of services were prepared for administrative review.

 

·         New contracts for landscaping and lawn care, tree trimming, fertilizer and weed control, and housekeeping were let and up-graded improvements in existing contracts for pest control and pool maintenance were developed.

 

·         Review of the maintenance responsibilities for Joe Boggess, the Maintenance Supervisor, was made with Joe being assigned to monitoring the lawn care mowing and trimming efforts, the maintenance facilities and yard storage set-up, contracted electrical and mechanical work, and maintaining the irrigation system, in addition to his regular maintenance duties.  It was determined that CMI maintenance needs take priority ahead of an association’s needs,

Fall came along and with it, the return of the annual migration of our residents from the northern parts.  They also brought with them some plus comments about the how nice things look and the improvements they observed.  We have done what we could to continue this through the following:

  • A new contract for lawn pest, fungus, and weed as well as added fertilization was let with Tru-Green Chemical

  • A second contract was let with Tru-Green for added control of insects on plants and bushed.

  • Repairs on the seawall were initiated with part of the work completed and a hold on the rest pending permitting and paperwork needed.

  • Fire equipment and prevention inspections and corrections for all buildings and installations have been completed and the Fire Marshall’s certification inspection is underway.

Current end of year activities consist of:

  • Planning for the installation of pool heating equipment with a concrete pad for the heater pumps already in place, the work to cut the pipe and electrical trenches scheduled, and an arrangement being made with a contracted vendor to pour the cement fill for these trenches a soon as the installation is ready for this.

  • A contract for re-surfacing of the pool deck has been put on hold pending the completion of the pool heater project.

  • A formal process to evaluate contracted services including landscape/lawn care, fertilization, and lawn pest control throughout the community is being developed.  Management is continuing to track these to assure improved contracted services.  Residents are asked to report their view of satisfaction with this as well.
